The Department of FISCal (FI$Cal) continually makes updates and enhancements to the system based on feedback from our end users. Our goal is to improve usability while maintaining the highest level of security for the state’s data.

FI$Cal released the following enhancements in July (descriptions include ServiceNow case numbers):

Project Costing

Epic 81052 – Enhancement to include the ‘Drop Down’ and ‘Prompt Options’ to Project’s Emergency Attributes Tab under Custom Attributes section. FD_EXTPC026 – Emergency Expenditure Tracking Attributes Page.

Enhancement/Solution

Included in enhancement the ‘Drop Down’ and ‘Prompt Options’ to Project’s Emergency Attributes Tab under the Custom Attributes section.

General Ledger

Currently, departments have to manually reclass the balances to reclassify accounts 5610120/5620120 to 2060000 (Deposits – General) in DEPTADJ for it to flow into BUDLEGAL. Departments have to use multiple reports to help with the monthly reconciliation.

Enhancement/Solution

Created a new allocation copy step to reclassify accounts 5610120/5620120 balances to 2060000 (Deposits – General) in the DEPTADJ ledger for Non-Governmental Cost Funds. The allocation output will be copied to the BUDLEGAL ledger via the BLL APP Engine. This will zero out the 5610120/5620120 balances and 2060000 will have a balance in the BUDLEGAL ledger.

Accounts Receivable

Add State Controllers Office (SCO) to the Architecture Revolving Fund (ARF) workflow and update the email subject line, Department ARF Request search page, and ARF PDF form.

Enhancement/Solution

Below are the solutions:
1. Add SCO to the ARF workflow.

  1. Create a new role: Z_SCO_AR_ARF_REQ_APPR.
  2. Add to the email subject line: Status, Department BU and Name, Agreement ID, Project ID and Description, and Reference Type.
  3. Add the option to the Accumulated Funding Agreement Total field to have zero dollar amount on the Department ARF Request page.
  4. Add a requirement for the Legacy Chartfields to be completed before approval.
  5. Add the PC Business Unit, Project ID, Status, and Reference Type criteria to the Department ARF Request search page.
  6. Add the “Next in List” and “Previous in List” buttons to the Department ARF Request page.
  7. Increase the Reference field character limit to more than five characters in the Legacy Chartfields section.
  8. Remove the Subsidiary, Character, GL Account, and Fund Source fields and add the Chapter, Reversion Date, and Schedule ID fields to the Legacy Chartfields section.
  9. A11. Increase the last digits on the Funding Agreement ID to three to identify the ARF form number. Add the Department’s name to the PDF ARF form.
