The Department of FISCal (FI$Cal) continually makes updates and enhancements to the system based on feedback from our end users. Our goal is to improve usability while maintaining the highest level of security for the state’s data.
FI$Cal released the following enhancements in August (descriptions include ServiceNow case numbers):
The Department of General Services requested for an inter-unit invoice portal for both billing and billed departments to be able to inquiry on invoices.
Developed two new pages as part of this enhancement request.
One page is for the billing department to review and print invoices generated for other departments. One page for billed departments to review and print invoices received from multiple billing departments.
Two new roles are created in this CR to access these pages: Z_DEPT_BI_IU_BILL_PROC – Dept Interunit Portal Bill Prc – Billing Department role to access InterUnit Invoice information. Z_DEPT_BI_IU_BILLED_PROC – Dept InterUnit Billed Proc – Billed Department can use this role to inquiry invoices they have with multiple billing departments.
Request to update direct transfer (DT) coding process to use budget attributes to derive budget date on DT voucher.
Modified code to get budget date from budget attributes on DT voucher.
Request to update DT credit process to use budget attributes to derive budget date on DT deposit for billed department.
Modified code to use budget attributes to derive budget date on credit DT deposits for billed department.
Department requested to add three additional fields: user ID, created date, and last updated date data on voucher error and status report.
Column header for voucher ID, vendor ID, and voucher error and status message/details requested to update to reflect header name correctly.
Modified ZZ_AP_VER_TAO record to add user ID, created date, and last updated date fields and modified file layout to add new fields App Engine SQL.
Report template updated to incorporate cosmetic changes for column headers as voucher ID, vendor ID, voucher error and status message, and voucher error and status details.
Request to decommission PeopleSoft delivered account payable regular voucher spreadsheet upload. FI$Cal has replaced the delivered process with warrant voucher spreadsheet upload-inbound (INFAP054) in which INFAP054 allows department users to create online and manual catch up regular vouchers with cash type warrant through this interface mechanism.
Deactivated integration broker routing definitions to prevent XML posting. Voucher spreadsheet upload process has been decommissioned.
Request to enhance the 1099 Withholding Interface (INFAP045) to include negative amounts for adjustments and field value for description (DESCR100) should process without needing space-bar padding on file for upload. Logic validations needed for old and new 1099 Types to be checked and processed by the interface. Fiscal Processes > FI$Cal Interfaces > AP > 1099 Withholding Adjustments.

Enhancement to create a new public query to identify inactive buyers with active purchase orders (POs).
Created a new public query to identify inactive buyers with active POs.
Request to update Month-End Close (MEC) dashboard related to automation of SWA allocation, BLL App Engine, and cash recognition allocation. The enhancements to the dashboard will ultimately indicate if the departments are ready to start the MEC Reconciliation process.
Added one new summary group and 13 detail tasks for the SWA allocation, BLL App Engine, and cash recognition allocation automation processes. The summary group and all new detail tasks will be system updated and will not allow Departments to mark complete. The automation will be scheduled through FI$CAL batch process to update the dashboard with the latest status.
Request to combine existing Subsidiary on File and Due To/Due from Supplemental reports with the ultimate goal of eliminating the Due To/From Supplemental report.
Developed new Subsidiary on File report (both UCM and COA versions) to incorporate the Due To/Due from Supplemental information. Other requested modification on which accounts and how they should be reflected on the report output.
