In our ongoing effort to improve the FI$Cal end user experience we have made the process of accessing Microsoft Power BI reports simpler. We have consolidated the existing Microsoft Power BI roles, which have a one-to-one relationship with the existing reports, into five more general roles. Each new role will allow staff to access multiple related Power BI reports. Existing reports accessible under each new role are listed in the table below. As new Power BI reports are created in the future, they will automatically become accessible to staff that have the corresponding roles.

Please note:

  • FI$Cal will work with current Power BI customers on transitioning from the old roles to the new roles.
  • Old roles can no longer be assigned to staff, but they will continue to function during the transition period.

Additionally, we recently rolled out three new Microsoft Power BI reports – the Departmental Income and Expense Report, the Accounts Receivables Aging Report and Encumbering Purchase Orders Report. These reports are intended to improve upon similar reports and queries that departments now run directly out of PeopleSoft.

In July 2020, FI$Cal implemented Power BI to its end users – a powerful new tool for departments to view their data and build reports. In November 2020, FI$Cal and the Department of Finance started designing the Monthly Reconciliation Report, with the objective of leveraging system data to replicate and complete the monthly reconciliation worksheet maintained outside of the FI$Cal system with improved accuracy and reduced staff time.

To request access to all these reports for your staff, please have a Departmental Authority or Designee request access via the Identity Self Service portal. FISCal staff will provision access and send an introductory email to the department user receiving access.

FI$Cal is happy to help departments learn how to use these reports, but there are also many non-FI$Cal resources available if staff need to learn the basics of Power BI. Among these are free tutorials from Microsoft and courses provided by the California Department of Human Resources. Below are a list of the job aids published for Power BI reports.
